Service Agreement

Last updated · May 26, 2026
EasyShifts is meant to be a tool you can rely on without worrying about the fine print. This agreement covers what you can expect from us, what we expect from you, and how billing, cancellations, and disputes are handled. We've tried to keep the terms straightforward and customer-friendly.
✓ No long-term contracts ✓ Cancel anytime — no notice required ✓ 30-day money back ✓ You own your content ✓ Good-faith dispute protection

01Overview

By creating an account or using EasyShifts (the "Service"), you agree to these Terms of Service (the "Terms"). If you're using EasyShifts on behalf of an organization, you confirm that you have the authority to bind that organization to these Terms — in that case, "you" refers to the organization.

These Terms work alongside our Privacy Policy, which explains how we handle your data. Together, they form the complete agreement between you and us.

If you don't agree to these Terms, please don't use the Service.

02The Service

EasyShifts is a workplace scheduling, time-tracking, and team-communication tool. We aim to keep the Service available, fast, and reliable, but we don't guarantee uninterrupted or error-free operation.

Features evolve over time as we improve the product. We may add, change, or retire features. If we retire something material that you rely on, we'll provide advance notice.

Who can use it
  • You must be at least 13 years old to use EasyShifts.
  • If you're between 13 and 18, you may use the Service only with the consent of a parent, guardian, or supervising adult, or as part of supervised employment.
  • You may not use the Service if you've been previously banned or if applicable law prohibits you from doing so.

03Your Account

  • Provide accurate and current information when you register.
  • Keep your password confidential. You're responsible for activity that happens on your account.
  • Notify us immediately if you suspect your account has been compromised.
  • Accounts are for individual people — don't share a single account across multiple users.

We may suspend or terminate accounts that violate these Terms. For non-urgent issues we'll give you a chance to fix things first; see Acceptable Use and Cancellation and Termination below.

04Plans and Billing

  • Available plans, features, and prices are described on our website and within your account.
  • Subscriptions are billed in advance for each billing period — monthly or annual, depending on the plan you choose.
  • Subscriptions renew automatically at the start of each new billing period until you cancel.
  • Applicable taxes are added on top of the listed price where required by law.
  • If a payment fails, we'll retry and reach out before suspending the Service. A single failed transaction doesn't immediately cut off your access.
Price changes. We'll give you at least 30 days' advance notice before any price increase takes effect on your plan. If you don't want to pay the new price, you can cancel before it kicks in (see Cancellation).

05Cancellation and Termination

No long-term contracts. EasyShifts subscriptions are month-to-month (or annual, if you've chosen an annual plan), with no minimum commitment.

How to cancel
  • From the account settings page within the app
  • By emailing your workspace administrator if you're not the admin
  • By contacting us directly
Cancel anytime — no notice required. When you cancel, your subscription doesn't renew on the next billing date, but you keep full access to EasyShifts through the end of the period you've already paid for. There's no notice rule and no penalty: if you cancel one day in or twenty-nine days in, you still get the full month (or full year) you paid for. We don't pro-rate the period you've started — see Refund Policy below for situations where a partial refund applies.
What happens when you cancel
  • You keep full access to EasyShifts through the end of your current paid period.
  • Your account, content, and workspace data are retained for 30 days after cancellation in case you want to reactivate or export your data.
  • After 30 days, your data is permanently deleted from active systems. Backups may persist briefly per our standard retention practices.
  • You can reactivate anytime within that 30-day window with your data intact.
Termination by us

We may suspend or terminate your account if you materially breach these Terms — for example, abusive behavior toward other users, fraudulent payment activity, or extended unpaid balances with no response to our outreach. For non-urgent issues, we'll notify you and give you a reasonable opportunity to resolve the issue first. For urgent issues (e.g., active fraud, malware, or harm to other users), we may suspend immediately.

06Refund Policy

We want you to feel comfortable trying EasyShifts. Our refund policy is intended to be simple and fair:

30-day money-back guarantee for new subscribers. If EasyShifts isn't right for you within your first 30 days as a paying customer, we'll refund your subscription in full. No questions, no forms, no friction. Just contact us.
Other refund situations
  • Pro-rata refunds for annual plans — if you've paid annually and we can't resolve a service issue you've raised in good faith, we'll refund the unused portion.
  • Service disruptions — for significant outages that affect your workspace, we offer service credits or partial refunds at our discretion.
  • Billing errors — see Payment Disputes below.
  • Other circumstances — we evaluate refund requests outside these categories case by case and try to do the right thing.

Refunds are issued to your original payment method within 10 business days of approval. If your original payment method is no longer valid, we'll work with you to find an alternative.

07Payment Disputes

If you think you've been charged in error or you have a question about a charge, please contact us first. We can usually resolve billing issues quickly and without the hassle of going through your card issuer.

How disputes work
  • Contact us within 60 days of the disputed charge.
  • We'll respond within 5 business days with our findings.
  • If we agree the charge was in error, we'll issue a refund or credit within 10 business days.
  • If we disagree, we'll explain why. You're free to escalate the dispute through your card issuer or take other steps available to you.
We won't suspend your service over a good-faith dispute. As long as you've contacted us in good faith about a billing question, your access continues uninterrupted while we work it out. We'd rather solve the problem with you than lock you out of the tool you depend on.

We do appreciate a heads-up before you initiate a chargeback with your card issuer — chargebacks are expensive for both sides and almost everything can be resolved faster through a direct conversation.

08Acceptable Use

We trust you to use EasyShifts responsibly. In return, we ask that you avoid the kinds of behavior that hurt other users, our infrastructure, or our ability to keep the service running:

✓ Encouraged
  • Manage your team's schedule and shifts
  • Communicate with coworkers in chat rooms you have access to
  • Track clock-in / clock-out time
  • Export your own data anytime
  • Customize settings to fit your workplace
  • Send us feedback, bug reports, and feature ideas
✗ Not allowed
  • Illegal activity of any kind
  • Uploading malware, viruses, or harmful code
  • Attempting unauthorized access to other accounts or our systems
  • Reverse-engineering or copying the Service to compete with it
  • Harassing, threatening, defaming, or harming other users
  • Spam, phishing, or deceptive communication
  • Automated scraping, mining, or bulk data extraction
  • Overloading or interfering with the Service for others (DoS-style activity)
  • Impersonating other people or organizations
  • Violating applicable laws, regulations, or third-party rights

We may remove content or suspend accounts that violate this section. For serious violations — fraud, malware, harm to others, illegal activity — we may suspend or terminate immediately without prior notice.

09Intellectual Property

EasyShifts — including the software, source code, design, name, logo, documentation, and all underlying technology — is owned by us. It's protected by copyright, trademark, trade secret, and other intellectual property laws.

Your license to use the Service

We grant you a limited, non-exclusive, non-transferable, revocable license to access and use the Service in accordance with these Terms. This license exists for the duration of your subscription and ends when your subscription ends.

What's not included in that license
  • You may not resell, sublicense, rent, lease, or redistribute the Service.
  • You may not create derivative works based on the Service.
  • You may not use the EasyShifts name, logo, or branding in your own marketing, products, or materials without our written permission.
  • You may not remove or alter copyright notices, trademarks, or other proprietary markings.
  • You may not reverse-engineer, decompile, or attempt to derive the source code or underlying ideas of the Service, except where applicable law expressly permits this despite this restriction.
Feedback

If you give us feedback — suggestions, bug reports, feature ideas, or any other input about how to improve EasyShifts — we may use it without compensation, attribution, or any obligation back to you. You're not waiving rights to your own creative work or business; we just want the freedom to build a better product from the ideas people share with us.

10Your Content

The content you put into EasyShifts — chat messages, schedule entries, employee information, notes, and so on — is your content. You retain ownership.

To operate the Service, you grant us a worldwide, non-exclusive, royalty-free license to host, store, transmit, display, and process your content as needed to provide the Service to you and your team. This license:

  • Exists only for the purpose of running EasyShifts for you
  • Does not allow us to sell, distribute, or commercialize your content
  • Does not include using your content to train AI or machine-learning models
  • Ends when you delete the content (subject to backups and the retention windows described in our Privacy Policy)

You're responsible for ensuring your content doesn't infringe on others' rights or violate the law. We may remove content that violates these Terms or applicable law, and we'll typically notify you when we do so.

11Disclaimers and Limitation of Liability

The Service is provided "AS IS" and "AS AVAILABLE." We don't make warranties, express or implied, including warranties of merchantability, fitness for a particular purpose, accuracy, or non-infringement. We don't guarantee that the Service will be uninterrupted, error-free, perfectly secure, or that it will meet every expectation.

Back up critical data. EasyShifts is not a replacement for proper data backup. We make commercially reasonable efforts to preserve your data, but we are not responsible for data loss. If something is mission-critical, please keep your own copies.

Liability cap

To the maximum extent permitted by applicable law:

  • Our total cumulative liability to you for any claim arising out of or related to the Service or these Terms is limited to the amount you paid us in the 12 months immediately before the event giving rise to the claim.
  • We are not liable for indirect, incidental, special, consequential, exemplary, or punitive damages — including lost profits, lost revenue, business interruption, loss of data, or loss of goodwill — even if we have been advised of the possibility of such damages.
  • These limits apply regardless of the legal theory the claim is based on (contract, tort, statute, or otherwise).

Some jurisdictions don't allow certain limitations on warranties or liability. To the extent yours doesn't, the limitations above apply only to the maximum extent permitted by your local law.

Force majeure

We're not responsible for delays or failures caused by circumstances beyond our reasonable control — including natural disasters, war, terrorism, civil unrest, labor disputes, internet or infrastructure outages, government actions, or acts of third parties we depend on.

12Changes to These Terms

EasyShifts is actively developed, and these Terms may change as the Service evolves. When that happens:

  • We'll post the updated version with a new "Last updated" date.
  • For material changes (those affecting your rights or how the Service works), we'll notify you at least 30 days in advance — via email, an in-app notice, or both.
  • If you keep using EasyShifts after the change takes effect, that counts as accepting the new Terms.
  • If you don't agree to a material change, you can cancel before it takes effect and we'll refund any unused prepaid amounts on a pro-rata basis.

13Governing Law and Disputes

Informal resolution first

If you have a dispute with us, please contact us before pursuing any other channel. Most issues are resolved quickly through a direct conversation. We'll engage in good faith to find a fair solution.

Formal disputes

If informal resolution doesn't work, these Terms are governed by the laws of the jurisdiction in which EasyShifts is principally based, without regard to its conflict-of-laws rules. You and we agree to the exclusive jurisdiction of the courts located in that jurisdiction for any disputes that can't be resolved informally.

No mandatory arbitration or class-action waiver. We don't require you to give up your right to a court hearing or to participate in collective legal action. You're free to pursue your rights through normal legal channels.

14General

  • Entire agreement. These Terms and the Privacy Policy are the complete agreement between you and us about the Service, and they supersede any prior agreements on the same subject.
  • Severability. If any provision is found unenforceable, the rest of the Terms stay in effect, and the unenforceable provision will be enforced to the maximum extent permitted.
  • No waiver. If we don't enforce a provision in one case, that doesn't waive our right to enforce it in another.
  • Assignment. We may assign these Terms (for example, in connection with a merger, acquisition, or asset transfer). You may not assign your rights or obligations under these Terms without our written consent.
  • Notices. We may send you notices via the email address associated with your account, via in-app notification, or by posting them on the website. Notices to us should go to the address provided in our Contact section.
  • Independent parties. These Terms don't create a partnership, joint venture, employment, or agency relationship.

15Contact

Questions about these Terms, billing, refunds, or anything else covered here? Please reach out to whoever administers EasyShifts at your workplace, or contact us directly. We're happy to help, and we'd much rather hear about a concern early than find out about it later.
